Challenge

A nonprofit organization with an annual operating budget of approximately $35 million was struggling to manage its financial operations efficiently. The organization maintained 40 separate bank accounts across five departments, creating unnecessary complexity, inconsistent cash balances, and limited financial visibility.

The board wanted to simplify the organization's banking structure, but the existing financial systems and processes could not support that goal. Departments also lacked standardized financial procedures, resulting in inconsistent reporting and limited visibility into the organization's financial position. Leadership needed timely, reliable financial information to make informed decisions.

Solution

I evaluated the organization's financial management processes and redesigned its banking and accounting structure to improve efficiency, accountability, and financial visibility.

I consolidated the organization's 40 bank accounts into 5 strategically organized accounts, implemented company credit cards with defined departmental accountability, and introduced an expense management platform with spending limits and digital receipt capture for employee reimbursements.

I redesigned the accounting structure by creating a customized Chart of Accounts and implementing financial tracking that provided meaningful reporting by department and initiative. I also integrated five business applications to streamline donor management, customer relationship management, accounts payable, accounts receivable, and financial reporting.

Recognizing that technology alone would not solve the problem, I developed standardized financial processes and provided role-specific training for 10 primary users and 2 backup support staff, ensuring consistent adoption across the organization.

The redesigned financial structure simplified cash management, strengthened financial oversight, and provided leadership with the information needed to make better financial decisions.
